What to Do If a Workflow Step is Stuck or Has an Error

Step is pending but not progressing

  1. Go to Admin → Instances and find the workflow instance
  2. Open the detail panel — the current step shows the assignee
  3. If the assignee was deactivated, their tasks will need to be reassigned
  4. Go to Users → (the user's profile) → Reassign pending tasks

Workflow is in Error status

An error usually means a step could not be assigned. Common causes:

  • The assigned user was deactivated
  • An assignee rule points to an empty department
  • A fixed-email assignee was removed from the workspace

To investigate:

  1. Go to Admin → Instances
  2. Open the errored instance
  3. The event log at the bottom shows the error description

Fix the underlying issue, then re-trigger a fresh instance.
