When you first log in as an admin, a Setup Checklist appears at the top of the Tasks and Flows pages. It guides you through 7 steps to get your workspace fully operational. You can collapse or dismiss it at any time.
Your workspace starts with the default name "My Organization". Update it to your company or team name so it appears correctly in emails, reports, and for your team members.
Go to Settings (your avatar menu → Settings) and edit the Organisation Name field.
Open the Flow Builder (/flows) and click New Flow to start designing your first approval workflow. You can also click Use Template to start from one of the 20+ pre-built templates (Leave Request, Purchase Order, Expense Reimbursement, and more).
A sample Leave Request flow is pre-loaded in your workspace — open it in the builder to explore how flows are structured before creating your own.
A flow in Draft state cannot be triggered by anyone. Once your flow is designed, open it in the builder and click Publish in the top-right panel. Publishing makes the flow visible on the /flows page and available for your team to trigger.

Go to Invite in the sidebar and enter your colleague's email address. They will receive a magic-link invitation valid for 24 hours. Once they accept, they can be assigned to workflow steps and can trigger flows themselves.

Go to the Flows page (/flows), find a published flow, and click Start. This creates a live flow instance and assigns the first step to the designated person. Walking through a real flow end-to-end is the best way to verify your setup is working correctly.
Go to Departments in the sidebar to create your first department. Departments enable powerful assignee rules like "Department Head" and "Role in Department", and let you restrict which flows specific teams can trigger.
This step is optional but recommended for teams of 5 or more.
Go to Settings → AI to configure AI-assisted features: the AI Flow Builder (generate a workflow from a plain-English description), Smart Form Field Suggestions, and the Flow Trigger Assistant for team members.
You can use your own API key (Anthropic or OpenAI) or use the platform's shared credits.
Once all 7 steps are ticked off, the checklist shows a "Workspace set up complete!" message. You can dismiss it at any point using the × button — it will not reappear.
